Secretary Level 5 - Federal Programs

BASIC FUNCTION/PURPOSE OF POSITION:

Provides confidential secretarial support for the Director of Federal Programs & Title VI Director. This position will typically support the function and program areas in the following manner:
Title 1- 40%
Title VI- 40%
Title IV- 10 %
Counselors- 10%

ESSENTIAL FUNCTIONS AND DUTIES:

A. Demonstrates strict standards of confidentiality.
B. Provides secretarial support to the Federal Programs Office, regarding Title 1, Title VI and Counselors.
C. Maintains records and accounts, files as outline in the Federal Programs Manual.
D. Screens and refers incoming phone calls and visitors to ensure that accurate and time communication is facilitated, and that the division and its department are represented in a positive matter.
E. Keeps the directors apprised of potential problems or concerns.
F. Responds to emergencies and delicate matters effectively.
G. Coordinated supervisors' calendars, schedules meetings, coordinated meeting logistics and prepares materials.
H. Processes Title 1 and Title VI check requests, requisitions. Credit card and Title IV expense
reimbursement and travel arrangements related to programs.
I. Processes correspondence, statistical or technical reports. Prepares and completes all reports as assigned by supervisors.
J. Maintains office supply inventories to provide adequate supply inventory and functional equipment.
K. Coordinates all activities in the preparation of department meetings, student/school/district events to address unique education and culturally related events for American Indian students and students from low-socioeconomic backgrounds to include meeting minutes and appropriate publications.
L. Prepares Federal program data/budgets for Title 1 and Title VI Federal E-Grant applications, collects
and processes required Federal forms for program funding. Prepare and collects data required for
Annual Performance Report submitted to the current Federal Agency by deadlines set forth.
M. Evaluates and coordinates work-based learning experiences that reinforce students' personal,
academic, and career goals as outline in the Title 1 and Title VI.
N. Initiate, record, and reconcile Time and Effort (PARs) documentation for all staff paid with Title 1 and
Title VI Federal Grants. Substitute PARs, semi-annual certification, monthly PARS.
O. Other job duties as assigned.
