Secretary Level 5

BASIC FUNCTION/PURPOSE OF POSITION:

Under general supervision, manages and maintains the Office of Teaching, Learning and Innovation and the Title IIA Grant. Performs confidential secretarial work of average and considerable difficulty skill using excellent planning, organizational skills, requiring judgement and discretion. Follows established procedures and detailed instructions. Operate office technology as necessary.

ESSENTIAL FUNCTIONS AND DUTIES:

Manages and maintains the Office of Teaching, Learning and Innovation and the Title IIA Grand and assigning SD Department of Education state codes to all district classes offered to students included dual credit college classes.

A. Receive, record, and/or route incoming calls.

B. Reconcile all accounts and grants, purchasing cards, purchase & warehouse orders and maintain inventory.

C. Maintain administrative calendars. Updated September 2021

D. Working with colleges, universities, technical institution and the South Dakota Department of Education for all district courses offered including college dual credit courses to align with the state common core numbering system as required for laws and administrative policies.

E. Assign and maintain records for all RCAS classroom courses.

F. Sets up, records and maintains detailed Professional Growth/Staff Development class records for indistrict personnel, out-of-district and general public for class participants.

G. Design and construct the RCAS Professional Growth/Staff Development class flyer courseofferings.

H. Sets up, records and maintains detailed Career Enhancement courses, records hours and bonuses for classified staff.

I. Working with Professional Growth/Staff Development class instructors on design and development of course proposals.

J. Committee member and secretary for Professional Growth Committee

K. Workings with state/colleges/universities for course accreditation of new and previously offered Staff Development courses.

L. Manages and maintains GoSignMeUP program; entering new course information, registrations, enrollment information, class cancellation, and records and maintains class participants detailed records.

M. Manages and maintains Authorize.net Credit Card program for Staff Development classes recording payment and refunds.

N. Scheduling locations for Professional Growth/Staff Development classes, in-services andmeetings.

O. Process correspondence, statistical, or technical reports for Professional Growth/StaffDevelopment.

P. Manage and maintains the Professional Scholarship Program. This includes budget, expenditures, and Professional Leave for each school.

Q. Working with RCAS Curriculum Specialists; purchasing, scheduling, location, arrangement for office/classes/in-services, and workshops.

R. Manages and maintains Professional Learning Communities allocated budgets, expenditures, and Professional Leave for each school.

S. Create surveys as instructed using Survey Monkey.

T. Responsible for all areas of the Title IIA Grant for Rapid City Area Schools and for the private schools. This includes accurate records and accounting for budgets, allocations, professional leave, conferences, purchasing and additional pay forindividuals.

U. Maintain and update the course master and course offerings through Skyward.

V. Perform other duties as assigned.
